Five steps, and four of them run without you.

    Build it from a template

    Open a starter template you can edit (dental, spay, TPLO, imaging, emergency deposit), swap in the lines you actually charge, and mark each one included, recommended or optional. Set the deposit as a percentage or a flat amount, set an expiry date, send. There is nothing to configure on the client's side, ever.

    Send it by email

    The owner gets a short email with a link. No PDF attachment to open, no password, no portal. Send it while they are still at the counter, or the same evening once the vet has priced the plan properly. We do not send text messages.

  3. 03day 1, day 3

    Let the reminders do the calling

    If nobody has signed, an email reminder goes out on day 1 and again on day 3, plus a balance reminder the day before the procedure, then the estimate expires on the date you set. Your dashboard lists every plan still unsigned, so the front desk calls the three that matter instead of all forty.

  4. 04at signature

    Get the sealed record

    The moment the owner signs, the signed record lands in your workspace and your inbox gets the notice. Open the estimate and download the PDF: the exact lines they accepted, the total, the deposit paid, the signature and the audit trail. It is the document you reach for if anyone ever says they never agreed to that.

    Push it into your practice software

    Export one CSV line or the PDF and drop it into the patient record in ezyVet, Provet Cloud, Digitail, IDEXX Neo, AVImark, Cornerstone or whatever you run. No integration to buy, no API key, no migration. Your practice software stays the system of record.

    The link opens in their browser

    Tap and it opens. No download, no account, no password reset at nine in the evening. It works on a five-year-old Android as well as on a new iPhone.

  2. 02live total

    They pick options, the total follows

    Included lines are locked. Recommended and optional lines have a checkbox, and the total, the deposit and the remaining balance recalculate as they tick. They see exactly what they are agreeing to and what it costs, without calling to ask what the dental was again.

  3. 03≈ 20 s

    They sign with a finger

    A signature drawn on the screen and their typed name. That is the approval: a simple electronic signature, with an audit trail recorded behind it.

  4. 04direct

    They pay the deposit to your Stripe

    The card form is Stripe's own. The charge goes to your clinic's Stripe account through Stripe Connect: your clinic is the merchant and the money never passes through VetApprove. We take nothing on the deposit, Stripe's fees apply.

  5. 05instant

    They get a receipt

    A receipt by email with the accepted plan, the deposit paid, the balance due and the appointment details. The same document sits in your dashboard, against the estimate.

Proof

What you get the second they sign.

Every signed plan carries an audit trail. It is printed on the last page of the sealed PDF and shown in the estimate timeline in your dashboard.

The hash covers the accepted content, not the PDF file: recompute it from the canonical content attached to the PDF a year later and compare. Identical hash, identical content. This is a simple electronic signature with an audit trail, the level recognised by the US ESIGN Act. We are not a law firm and we claim no certification.

What we never do.

  • We never replace your practice software

    VetApprove covers one thing: the estimate link, its signature, the deposit it collects into your own Stripe account, and its reminders. Records, scheduling, inventory and invoicing stay exactly where they are.

  • We never take a cut of the deposit

    Deposits land in your clinic's Stripe account. We take nothing on the deposit, Stripe's fees apply, and you pay us $99 a month. That is the whole bill.

  • We never ask your client to install anything

    No app, no account, no portal login, no email verification loop. A link, a browser, done.

  • We never lock you into a contract

    Month to month, no setup fee, no per-seat pricing, no minimum term. Cancel by email and it takes effect the same day; export everything first.
