Why this document

A good veterinary estimate does three things a price list cannot: it separates what is included from what you recommend and what is genuinely optional, it says what happens if the plan changes during the procedure, and it gives the owner a written figure they can take home and think about.

The template below is the structure we see working in practice. Change every word of it. The wording is a starting point, the prices are examples, and the clinical judgement is yours.

How to make it a good one

  • Split the lines three ways. Included is what always happens. Recommended is what you would do. Optional is a reasonable extra. Owners read the difference and it shapes what they say yes to.

  • Write one sentence of detail on anything that surprises people: dental radiographs, sedation for imaging, per-tooth extractions.

  • Put the validity date on it. An estimate without an expiry becomes an argument six months later.

  • Say what happens if the plan changes mid-procedure. One line: we call you before doing anything you have not approved.

  • If you take a deposit, name the amount and what it covers on the same page, not in a separate document.

Is this template really free?

Yes, and there is no email wall. It runs entirely in your browser: nothing you type is sent anywhere, and we could not read it if we wanted to.

How do I save it as a PDF?

Press the print button and choose "Save as PDF" as the destination in your browser's print dialog. That is how every browser turns a page into a PDF file.

Can I add my logo?

Not in this free version. The document is deliberately plain so it prints cleanly on letterhead. Put it in the tray and print.

What is the difference with VetApprove itself?

This makes a document. VetApprove makes a link: the owner ticks the optional lines, the total updates, they sign with a finger and pay the deposit into your clinic's Stripe account. Then you get a sealed PDF and a CSV line.
