Why this document

A financial policy is not about being strict. It is about removing every moment where a client can be genuinely surprised. Because a surprised client is an unhappy one, and an unhappy client at the counter costs your front desk twenty minutes.

It also protects your team. When the rule is written and published, the person at the desk is applying a policy, not making a judgement about somebody's finances.

Financial policy

When payment is due

Payment at Cedar Street Veterinary Clinic is due in full at the time of service. We accept cash, debit and credit cards, and secure online payment links.

Estimates

We provide a written estimate before any scheduled procedure. It separates what is included, what we recommend and what is optional, so you can decide what you want before the day. If the treatment needs to change, we contact you before exceeding your approved estimate.

Payment plans and credit

We do not operate in-house payment plans or credit accounts.

Other terms

Estimates are valid for 30 days and are estimates, not fixed quotes. Insurance claims are your responsibility; we will provide any itemised documents you need, at no charge.

Please ask any member of our team if anything here is unclear. We would rather answer a question now than at the counter.

How to make it a good one

  • Answer the four questions clients actually have: when do I pay, how can I pay, what if the bill is bigger than the estimate, and do you offer credit.

  • Be explicit if you do not offer in-house payment plans. Silence gets read as "maybe".

  • If you mention third-party financing, name it as a third party and say you are not part of the agreement.

  • Give estimates a validity window and say they are estimates, not fixed quotes.

  • Date the document. A policy without a date is impossible to enforce consistently.

FAQ

Questions clinics ask.

Should the financial policy and the deposit policy be one document?

They can be, and many clinics merge them. We keep them separate here because the deposit policy is the one you want on the estimate itself, where a longer document would not be read.

Is it a problem to say we offer no credit?

It is usually better than staying silent. Clients plan around what they know; the frustrating version is discovering at the counter that the option they assumed existed does not.

Can I mention CareCredit or Scratchpay?

Clients often ask about third-party financing providers. If you mention any, say clearly that they are a third party, that you are not part of the agreement, and that the client should read the current terms themselves. We have no partnership with any of them.

Where should clients see this?

In the new-client pack, on your website, and at the counter. Give it a date so everyone knows which version is current.
